Ticket Examination

Prior to signing for tickets, verify that the travel arrangements, destinations, dates and times are as requested. Contact us immediately should you need any adjustments. Airlines, hotels and other suppliers amy assess penalties for changes or cancellations.

Flight Reservations

Make sure the flights you selected are booked. Note any flights waitlisted or lacking seat assignments. Call your agent if you have any questions Seat assignments are printed on the itinerary with exact seat placement (window, aisle, etc.). If your preferred seat wasn't available at the time of making the reservation, or ticketing, our computer will continue to check for your requested seat until your departure. Your agent will notify you if it becomes available. If the seat doesn't free up, try checking again at the airline counter. With over-booking and cancellations, seat availability is constantly changing. Keep in mind that some airlines don't pre-assign seats. Frequent flyer numbers are sent to the carriers when your reservations are made. They appear on the Boarding Pass section of each flight coupon. If for any reason you don't receive credit, let us know and we will be happy to contact the carrier. In most cases, redemption of free ticket awards must now be handled directly with the airlines for reservations and ticketing.

Changing Reservations

Penalties for changes are common. Your ticket and itinerary will indicate if you'll have to pay extra when changing a reservation. In some cases, a change in date, time, routing, or airline could result in an airline requiring you to purchase a new full-fare ticket. In the event that you need to buy a whole new reservation, you can put the cost of your old ticket towards the new higher-priced reservation. Which is good news for your credit card. Tickets are like cash. They need to be returned for credit if unused. These days, most tickets are refundable indefinitely. So don't throw them away--ever. Lost or stolen tickets can be refunded by completing a Lost Ticket Application available from your agent. The airline imposes a service fee and requires a minimum of three months to process the application. If you find your ticket while your application is pending, forward it to our office so we can expedite the refund.

Waitlisted

If your itinerary shows you are waitlisted for a lower fare, check with the ticket counter to see if the lower fare is now available. If so, the ticket agent will issue a credit to your credit card account, or to Vietlink Travel & Service for refund back to your company. Denied Boarding? If you're holding confirmed reservations and are denied boarding, you're entitled to receive Denied Boarding Compensation. Airlines occasionally oversell a flight in anticipation of no-shows. Ask someone at the counter for exact details regarding Denied Boarding Compensation. Each airline has its own policy.

Denied Boarding

If you arrive at an airline check-in counter and are told you have no reservation, check your ticket. If the status shows "OK" for the flight in question, all domestic U.S. airlines must accommodate you on that flight, find a substitute flight, or pay you denied boarding compensation. Ask to see a supervisor if necessary.

Domestic Flight Check-In

Due to increased security, we recommend you check in a minimum of 90 minutes prior to departures. If you are not checked in 20 minutes prior to departure you may be considered a no-show and lose your reservation. Carry at least one form of photo ID at all times.

International Flight Check-In

Due to increased security checks, check-in times vary from 2 to 4 hours before flight time. Please verify with your travel consultant prior to departure. Carry at least one form of photo ID at all times. A second form of photo ID may be required at some international destinations.

Reconfirmation

It is not generally necessary to reconfirm flights within the U.S. For flights outside the U.S., especially overseas, it is advisable to reconfirm each flight segment before travel. Each segment of your international journey should be reconfirmed independently, at least 24 to 48 hours prior to that flight's departure.

Luggage

Make sure all luggage, botch checked and carry-on, is tagged with the passenger's name. Identification should be placed on both the outside and inside of each piece of luggage. Never leave luggage unattended or under the watch of a stranger. Do not accept any item from a stranger or carry any package with unknown contents. After arrival at your destination, go immediately to the baggage claim area to pick up your luggage. Have your claim stubs available.

Hotel Reservations

Ask for the best rate available. In some cases a local promotion may be less than your booked rate. Often times a hotel will release a block of rooms being held for a meeting or convention at the last minute and lower rates will be available. Make sure to know what your booked rate includes (breakfast, free local phone calls, etc.) to make sure you are getting the better rate! Ask about the availability of lower rates when you check in. Guaranteed Reservations means that the hotel will hold the room until you arrive, no matter what the time. It also means that if you don't cancel according to the hotel's policy, you'll be charged for one night's stay. The minimum time allowed for cancellation is shown on your itinerary; the time marked is the TIME AT YOUR HOTEL'S CITY--not yours. For your convenience, the hotel's address and phone number are provided on your itinerary. Confirmation numbers are proof of reservation. Provide this number to the front desk clerk and demand to be accommodated if there is any problem with your reservation. If the hotel is oversold, they have to transport you to, and put you up at, a nearby hotel of equal quality and with no additional charge.

Car Rental Reservations

Ask for current specials at the counter. Local unpublished promotions, less than your corporate rate, may be available. Make sure to ask about the insurance coverage offered with promotional rates as compared to your corporate rate. Check to see that the rental agent has your corporate discount number if applicable. Have your drivers license and credit card. Car rental companies require BOTH before you can rent a car. Confirmation Numbers provided by the car company are proof of reservation. Remember to write the number down. This helps when there are problems with acquiring your rental, and allows you to demand to be accommodated. If the rental company has oversold your confirmed car size, they have to confirm the next larger size available at no additional fee. If the car company has oversold everything, they're required to pay for your transportation to your hotel, meeting, or end destination.
